East Anglia First Aid Events (EAFAE)

1. Introduction
These Terms and Conditions (“Agreement”) govern the provision of event medical services by East Anglia First Aid Events (“EAFAE”, “we”, “our”, “us”) to you, the client (“you”, “your”, “the Client”). By booking EAFAE for your event, you agree to be bound by these Terms and Conditions.
2. Services Provided
EAFAE provides trained and qualified first aid and event medical personnel to attend public and private events across East Anglia. Our services include, but are not limited to:

On-site first aid cover

Emergency care provision
-
Basic and advanced life support
-
Medical risk assessments
-
Liaison with local ambulance services (if required)
The exact level of medical provision will be agreed upon in writing prior to the event.
3. Booking and Confirmation

All bookings must be made in writing (email or form) and confirmed by EAFAE.

A booking is only considered confirmed once a written agreement is issued by EAFAE and acknowledged by the Client.

Full event details must be provided at least 14 days before the event.
4. Client Responsibilities
You agree to:

Provide full and accurate event details, including site access, event schedule, and expected attendance.

Ensure that EAFAE has sufficient space, shelter, and facilities to operate safely.

Notify EAFAE of any known risks, hazards, or relevant medical considerations.

Ensure a safe working environment and appropriate communication with event organisers and security personnel.
5. EAFAE Responsibilities
EAFAE will:

Provide qualified and insured medical personnel appropriate to the agreed level of cover.

Arrive promptly and operate in a professional and safe manner.
-
Maintain accurate records of medical interventions and treatment.
-
Maintain confidentiality in accordance with GDPR and relevant healthcare regulations.
6. Fees and Payment

A full quotation will be provided prior to booking.

Full payment is due within 14 days of invoice, unless otherwise agreed in writing.

Late payments may incur interest charges in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.
7. Cancellations and Refunds

Cancellations by the client must be made in writing.
-
More than 14 days before the event: No fee.
-
7–14 days before the event: 50% of the quoted fee will be charged.

Less than 7 days before the event: 100% of the quoted fee will be charged.

EAFAE reserves the right to cancel services due to force majeure or unsafe working conditions. In such cases, no charge will be made, and any payments received will be refunded in full.
8. Limitation of Liability

EAFAE is not liable for any indirect, incidental, or consequential loss or damage arising from services provided.

Our liability is limited to the total amount charged for our services.

While every effort is made to respond to all incidents, EAFAE accepts no liability for incidents not brought to our attention during the event.
9. Insurance
EAFAE maintains:

Public Liability Insurance

Professional Indemnity Insurance

Employers’ Liability Insurance

10. Confidentiality and Data Protection
All patient information is treated as strictly confidential and handled in accordance with:

Records are securely stored and retained only for as long as legally required.
11. Governing Law
This Agreement is governed by and construed in accordance with the laws of England and Wales. Any disputes arising will be subject to the exclusive jurisdiction of the English courts.
12. Amendments
EAFAE reserves the right to amend these Terms and Conditions at any time. Any changes will be communicated in writing prior to affecting existing bookings.
